What Harborline does
What exactly does Harborline do?
Harborline designs, configures, tests, and manages focused lead-recovery workflows for small businesses. Depending on the approved scope, that can include missed-call acknowledgements, website-inquiry responses, follow-up for unbooked leads or estimates, past-customer reactivation, review requests, internal alerts, callback tasks, and plain-English reporting.
Is Harborline software or a marketing agency?
Neither in the traditional sense. Harborline is a done-for-you implementation and management service. We may use approved third-party tools, but clients are not handed a dashboard and told to build everything themselves.
Does Harborline generate new leads?
The core service focuses on improving follow-up for leads and customers the business already receives or already has. Advertising, SEO, social media management, and new-lead generation are separate services unless specifically added in writing.
Can Harborline guarantee bookings or revenue?
No. Results depend on lead quality, market demand, pricing, response speed, staff follow-through, customer behavior, and the systems available. Harborline measures activity and reports results without promising a specific financial outcome.
What we need from the client
Is limited system access required?
Yes. Done-for-you implementation requires timely, role-based access to the systems included in the approved scope. Harborline cannot configure or manage a phone, CRM, website form, inbox, texting platform, booking tool, or review workflow without usable access.
Do I give Harborline my main passwords?
No. The preferred method is a separate user, manager, or integration invitation with only the permissions needed for the approved work. Do not enter passwords, API keys, customer lists, private account links, payment details, or sensitive records in the website forms.
Which systems might Harborline need access to?
The exact list depends on the workflow. Common examples include the business phone or call-tracking platform, CRM or lead database, website and forms, booking or field-service software, business email or shared inbox, texting platform, Google Business Profile, and review-management tools.
Who owns the phone number, accounts, and customer data?
The client does. The client should keep account ownership, billing control, phone-number ownership, and customer-data ownership. Harborline receives only the access needed to configure, test, monitor, support, and report on the approved system.
What happens if required access is not provided or is later removed?
Implementation may be delayed, limited, or paused because Harborline cannot manage a system it cannot access. The written scope and service agreement will identify the access required for the approved work.
How the callback system works
Who actually calls a missed lead back?
The client's employee, existing answering team, or another approved provider handles the human conversation. Harborline can configure the immediate acknowledgement, internal alert, lead record, callback task, reminders, and follow-up so the opportunity is less likely to be forgotten.
What happens after a customer calls and nobody answers?
A typical workflow can detect the missed call, send a client-approved acknowledgement, create or update the lead record, alert the assigned staff member, create a callback task, and send a reminder if the task remains incomplete. The exact timing and wording are approved before launch.
Will Harborline use an AI voice agent or live answering service?
Not unless the client separately approves that solution, its cost, its wording, and its operating rules. The starter service does not automatically include live answering or autonomous voice conversations.
Does my team still have responsibilities?
Yes. The business must assign someone to respond to alerts, make human callbacks, keep hours and availability current, record lead outcomes, and tell Harborline when services, staffing, or operating rules change.
Numbers, data, and software costs
What business statistics do you need?
Helpful figures include approximate monthly calls and website inquiries, unanswered leads, typical response time, estimates or bookings, and the approximate revenue from a typical completed job. Rough estimates are acceptable.
What if we do not know those numbers?
Leave optional number fields blank. If the engagement moves forward, Harborline can establish a simple 30-day baseline from the approved connected systems.
Do we have to provide financial statements?
No. Harborline does not need full financial statements for the starter service. We may ask for a rough typical completed-job revenue estimate so reporting and break-even examples can be kept realistic.
Who pays for phone, CRM, texting, or automation software?
Harborline's fee covers the agreed setup, management, support, and reporting scope. Any separate third-party platform, phone-number, messaging, registration, or usage cost is disclosed and must be approved before activation. The account should usually remain in the client's name.
Can Harborline replace a system that cannot support the workflow?
Harborline may recommend an approved replacement or add-on when the current platform cannot provide the required triggers, access, messaging, tracking, or reporting. No replacement is purchased or activated without the client's approval.
What happens next
Do I need to complete the Implementation Setup form to receive the free audit?
No. The short Free Audit form provides enough information for Harborline to review the public customer path and prepare initial findings. The more detailed Implementation Setup form is required only when you want Harborline to configure and manage the system, because that stage requires operating details, platform information, access planning, and callback responsibilities.
What information does Harborline need for the free audit?
The short request asks how leads arrive, what happens after missed calls and website inquiries, whether unbooked leads, estimates, and past customers receive follow-up, the approximate lead volume and typical completed-job revenue, the main concern, and whether Harborline may perform one clearly identified public contact-path test. No passwords, private customer data, CRM access, or phone-system access are required for the free audit.
Do I need a website to request a free audit?
No. Businesses without a website may still request an audit. Harborline can review the phone path, voicemail, public business profiles, social contact options, booking links, and the follow-up process described in the form. If you have a website or booking page, include it; otherwise leave the field blank.
What happens after I request a free audit?
Harborline reviews the public customer path and the information provided, then replies in writing with the first areas worth examining. The free audit is informational and does not create a contract.
What happens after I submit the Implementation Setup form?
Harborline reviews fit and scope, identifies the required systems and access, confirms responsibilities, and discloses any outside costs. Approved clients then receive a client-specific electronic agreement. After signature, Harborline sends secure card and PayPal payment options. After payment, the client receives the exact role-based account-invitation checklist required for the approved build. See the full approved-client sequence.
How are the service agreement and payment handled?
The agreement is sent through a secure electronic-signature provider so both sides can retain a completed copy. Payment follows signature through hosted card or PayPal checkout. Harborline does not collect card numbers by email, and implementation does not begin until the agreement, initial payment, and required access are complete.
Why does the setup form ask who controls account access?
Harborline needs to know whether the person completing the form can create the required user invitations or whether another owner, administrator, agency, or IT provider must be involved before implementation begins.
Is the Client Setup form a contract?
No. It is a readiness and scoping form. No paid implementation begins until the written scope, agreement, setup fee, and required access are completed.
What is the Founding Client Pilot?
The first three eligible businesses can begin at $99 setup and $99 per month for 60 days within the stated starter scope. Continuing service becomes $149 per month with no second setup fee. Third-party costs and work beyond the starter scope are disclosed separately.
How do I cancel Harborline service?
No phone call is required. Use the Cancel Service page or email hello@harborlineleadrecovery.com with the business name, billing email, and requested cancellation date. Harborline will confirm the cancellation in writing. If a payment has already processed, the cancellation stops future renewals; the current paid period is generally not prorated unless the signed agreement says otherwise.
Is there a long-term contract?
The current starter service is month-to-month. Completed setup work and outside costs already incurred are not refundable, and the written agreement controls the exact cancellation and transition terms.
